Where the Hours Go

Most businesses have a version of it. Invoices, service orders, contracts, and statements arrive as email attachments, scans, and phone photos. Someone who knows the domain opens each one, works out what every line means, decides how it should be categorized, and types it into the system. Half a day disappears, the backlog grows every time volume spikes, and one misread line can turn into a compliance problem or an angry client.

The people doing that work are usually the ones you hired for billing, client care, or operations. Every hour they spend retyping is an hour of that work not getting done, and the usual fix is another admin hire.

Off-the-shelf tools promise to fix this, then choke the first time a document doesn't match their template. Your documents don't follow templates. Some are crooked scans, some are handwritten, and no two vendors format an invoice the same way. That's the problem we build for.

What you get is a pipeline that reads each document, works out what it means, checks the numbers, and puts the result in your systems already categorized. Your team reviews the handful of items it flags and nothing else. On the first one we built, a 30-minute document became a 5-minute review, and the people who used to type it went back to the work they were hired for.

What It Solves

  • You're still stuck in the mud processing paperwork.

We build a pipeline that reads your documents, pulls out the fields you care about and sends them to the systems you already run.

  • Your documents are too niche for off the shelf document processing SaaS tools.

Off-the-shelf tools are built for common documents. We build extraction around your document types, vocabulary and business rules, and test it on a sample before you commit a build budget.

  • You have business-critical data stuck in PDFs, and it takes hours to extract, interpret, categorize and integrate.

We work with your company to build reliable, automated AI-powered data ingestion tools around your actual workflows.

  • Every customer sends the same form in a different format.

We build extraction that handles every variant you receive and maps them all to one format your systems understand.

  • Your receipts, invoices and timesheets still arrive on paper and have to be scanned by hand.

Snap a photo or run the stack through a scanner. The pipeline reads the images and files the data where it belongs.

  • You've tried the OCR tool and it can't read your industry's paperwork.

OCR turns an image into text. We add an AI reasoning layer that knows what your forms mean, built and tested on your own samples.

  • Your best-paid people spend their time on data entry.

Automating intake gives those hours back to the work you hired them for.

What It Gets You

  • A quote sent the same day the request comes in.

Each document is read the moment it arrives, and the details land where your team already works. They can start on the quote right away.

  • A team that spends its day on the work that needs them.

The pipeline does the reading and sorting. Your people review what it flags and put their time into clients.

  • Years of documents you can finally ask questions of.

We run your archive through the same reasoning layer as new documents, whatever format they're in, and send the results wherever you need them.

  • A flag on any document that breaks your rules.

We check each one against the rules you give us, like a missing signature or a total that doesn't match the line items. Those go to a person. The rest go straight through.

What We Build

  • A pipeline custom to your documents. Designed around your document types and your business rules, so it handles the paperwork that shows up in your inbox.
  • Reading for ugly documents. Native text when it's available, OCR for scans, photos, and low-quality uploads.
  • Reasoning on top of extraction. Once the data is out, AI classifies each item against your own categories, applies your business rules, and works out what it means. What reaches your systems is already decided, not just transcribed.
  • Structured data in your systems. Clean, validated output flowing straight into your database, CRM, or accounting software. No copy-paste step.
  • Review screens for your team. People confirm results instead of reading, interpreting, and typing them.
  • Accuracy that improves. Corrections are stored with the extraction history, so the pipeline gets better the more you use it.
  • An architecture you can reuse. When the next document type shows up, most of the work is already done.

How It Works

Step 1: Read the Document

The pipeline pulls native text where it exists and falls back to OCR for scans and photos, so nothing gets skipped because of how it arrived.

Step 2: Pull Out the Data

AI extracts the fields, line items, and amounts that matter, forced into a strict, predefined format. The same document type always produces the same shape of data.

Step 3: Reason About It

AI classifies each extracted item against your own set of rules, the same categories and labels your systems already key off. A line on a settlement statement becomes a transfer tax or a title fee, not just a string and an amount. This is the step generic extraction tools skip, and it's where the hours come back.

Step 4: Check the Work

A validation pass checks the math, flags discrepancies, and scores confidence on every item.

Step 5: Keep a Human Where It Counts

Your team reviews flagged items side by side with the original document and approves the results. Then the data lands in your systems. Review time goes to the flagged items instead of every page.

Case Study: Settlement Statements at a Tax Compliance Startup

The Challenge

A startup modernizing tax studies had hundreds of real estate settlement statements to process: 3 to 15 pages of line items each, wildly inconsistent formats, plenty of crooked and blurry scans, and regulatory stakes riding on accuracy. Reading, categorizing, and entering each document by hand took about 30 minutes.

What We Built

A pipeline that extracts every line item with its amount and description, categorizes each against the client's own taxonomy, validates the calculations, flags discrepancies, and delivers structured output straight into their database. Their team reviews an editable list beside the original PDF instead of typing anything.

The Results

  • About 30 minutes per document down to about 5
  • 90%+ extraction accuracy across varied, complex formats
  • Near-perfect accuracy on raw text and numeric values
  • 75% reduction in manual review time
  • Documents now process simultaneously instead of one at a time, and the architecture is ready for their next document type
